— [COMP-PRIV] Legal & Data Governance
Privacy Policy
Effective Date: October 27, 2026
Red Moon Software LLC ("Company", "we", "us", or "our") respects your privacy and is committed to protecting your organizational and personal data. This Privacy Policy details our data practices when you visit our website, engage our consulting services, or communicate with us.
1. Information We Collect
We collect information necessary to deliver professional IT consulting services, evaluate project requirements, and maintain business communications. This encompasses: (a) Contact Information: name, business email address, telephone number, and company name submitted via our consultation request forms; (b) Technical Architecture Data: non-public system schemas, API documentation, and workflow requirements voluntarily disclosed during engagement scoping; (c) Telemetry Data: standard web server logs including IP addresses, browser types, and access timestamps collected automatically to ensure website security and operational performance.
2. How We Use Information
We utilize collected data strictly for legitimate commercial and engineering purposes: (a) evaluating project feasibility, preparing proposals, and delivering consulting deliverables; (b) managing client contracts, invoicing, and milestone communications; (c) maintaining infrastructure security and preventing unauthorized access; and (d) complying with applicable legal obligations under Missouri and United States federal law. We do not sell, rent, or monetize client data under any circumstances.
3. Data Protection & Security Controls
We implement robust administrative, technical, and physical safeguards designed to prevent unauthorized access, loss, or disclosure of client information. All electronic communications and data transfers are encrypted using TLS 1.3 encryption protocols. System access is strictly restricted based on the principle of least privilege, requiring multi-factor authentication for all internal accounts. In the event of a verified data security breach impacting client information, affected parties will be notified without unreasonable delay in accordance with applicable state law.
4. Confidentiality & Non-Disclosure
All proprietary technical specifications, codebase access, and operational workflows disclosed by clients during consulting engagements are treated as confidential information. Red Moon Software LLC executes mutual Non-Disclosure Agreements (NDAs) prior to inspecting production systems. Our team members and contractors are bound by strict contractual confidentiality covenants that survive the termination of any service agreement.
5. Third-Party AI Services & Data Sovereignty
When architecting AI solutions, we frequently interface with third-party infrastructure providers (including OpenAI, Anthropic, Amazon Web Services, and Google Cloud). We configure integrations strictly using enterprise API endpoints governed by commercial zero-data-retention (ZDR) terms. We explicitly verify that client data, proprietary documents, and database records passed through these endpoints are not utilized by external AI providers to train public models.
6. Data Retention Schedules
We retain client personal contact details and consultation communications only for as long as necessary to fulfill the commercial purposes outlined in this policy or to comply with statutory accounting and legal retention requirements. Technical staging environments, access credentials, and temporary code repositories utilized during project integration are permanently purged within sixty (60) days of final milestone acceptance unless an ongoing maintenance retainer is established.
