Refund & Cancellation Policy
Red Moon Software LLC maintains transparent, predictable commercial standards. Because our engagements involve dedicated engineering hours, bespoke technical architecture, and proprietary software development, this Refund & Cancellation Policy outlines the parameters governing project terminations and refund determinations.
Cancelling a Project Engagement
A client may cancel an ongoing consulting engagement at any time by delivering written notice to Red Moon Software LLC via email to RedMoonSoftwareLLC@proton.me. Upon receipt of written cancellation notice, engineering work ceases immediately, and any ongoing project tasks are frozen.
Milestone Payments Structure
All consulting projects are structured around discrete engineering milestones (e.g., Discovery, Architecture, Integration, Testing). Payments are allocated directly to specific milestone deliverables. Work on any milestone commences only upon receipt of the agreed milestone deposit or invoice payment.
Refund Eligibility & Processing
(a) Uncommenced Milestones: Any advance funds paid toward milestone stages that have not commenced at the time of written cancellation notice are 100% refundable. (b) In-Progress Milestones: For milestone stages where engineering work has commenced but is incomplete, refunds are calculated pro-rata based on documented engineering hours expended, less direct costs. (c) Completed Milestones: Payments for completed and delivered milestones are strictly non-refundable. Approved refunds are processed within ten (10) business days via the original payment method.
Deliverables Already Completed
In the event of project cancellation, Client retains full ownership rights to all completed, accepted, and paid-for technical deliverables, including source code repositories, architectural schematics, and integration documentation created up to the date of cancellation. Unpaid or incomplete work products remain the property of Red Moon Software LLC.
Third-Party Service Costs & Non-Refundable Expenses
Client acknowledges that third-party service fees (including dedicated cloud hosting, GPU compute instances, third-party API token consumption, vector database instances, or domain registrations) incurred on the client's behalf during delivery are strictly non-refundable under all circumstances.
How to Request a Cancellation or Refund
To initiate a project cancellation or request a refund evaluation, submit a formal written notice including your company name, project Statement of Work number, and rationale for cancellation to: Red Moon Software LLC, Attn: Commercial Contracts, 11431 Ortega Dr, St. Louis, MO 63138, USA.
